What is a Police Clearance Certificate?

A Police Clearance Certificate is an official document issued by the SAPS Criminal Record and Crime Scene Management Centre in Pretoria. It states whether or not any criminal convictions are recorded against you. It's not the same as a character reference — it's a formal government record check.

When do you need one?

Documents you need

  • Completed SAPS application form
  • A clear set of your fingerprints (taken at a police station)
  • A certified copy of your South African ID or passport
  • Proof of any previous names (if applicable)
  • Payment of the applicable fee

How to apply

  1. Visit your nearest SAPS station to have your fingerprints taken. Bring your ID or passport.
  2. Complete the application form at the police station.
  3. Submit the application either at the station (which then forwards it to Pretoria) or directly at the SAPS Criminal Record Centre, Bothongo Plaza West, 271 Francis Baard Street, Pretoria.
  4. Receive an enquiry reference number to track your application online via the SAPS website.
  5. Collect or receive your certificate once it's ready.

How long does it take?

Officially, 6 to 8 weeks. In practice, SAPS has acknowledged backlogs that have extended processing times significantly. Applying early and following up proactively makes a real difference.
